On the Registration screen, search for the patient by NIK (national identity number), name, or medical record number (MRN) before creating a new patient, so that no duplicate records are created.
Steps
- Open Registration. The search box is focused automatically (press
/to return to the search box from anywhere). - Type the NIK (16 digits), name, or MRN. NIK search is exact; name search shows similar matches.
- Patient found: check the name, date of birth, and address; update the phone number or address if they have changed.
- Patient not found: choose New patient. If you enter the NIK, Medivana looks up the Patient record in SATUSEHAT (the Ministry of Health's national health data platform) to fill in the patient's identity and SATUSEHAT ID (IHS).
- Complete the required fields, record the patient's consent (see Patient consent), then save. The MRN is issued automatically per organization.
- Choose the clinic unit, doctor, and payer (self-pay, BPJS, insurance, corporate). For JKN patients (the national health insurance program run by BPJS Kesehatan), enter the BPJS card number.
- Issue a queue number.
Privacy note
The NIK, phone number, and BPJS number are stored encrypted and displayed masked (for example 3374********0001). Do not take photos of screens containing patient data to send via chat.
Common problems
| Symptom / message | Cause | What to do |
|---|---|---|
| NIK not found in SATUSEHAT | Typo in the NIK, a newborn, a foreign national, or SATUSEHAT is disrupted | Check the NIK on the ID card (KTP) or family card (KK); register the patient anyway and complete the SATUSEHAT ID later |
| The patient appears twice | An earlier duplicate registration | Use Merging duplicate patients |
| "Choose a branch first" | No active branch selected | Choose a branch in the branch picker |
| Slow search (> 1 second) | Slow connection | Check your connection; report it if it keeps happening |
