Purchase orders, partial goods receipts, and supplier payments

Updated 30 Oct 2026

Procurement follows the flow PO → approval → goods receipt (can be in stages) → supplier payable → payment.

Steps

  1. Create a PO (permission "Create and approve POs"): choose the supplier, items, quantities, and prices. A draft PO can also be created from minimum stock.
  2. Approve the PO. Status: draft → approved.
  3. Receive the goods (permission "Receive goods"): record the quantity received per item, the batch, and the expiry date. A partial receipt sets the PO status to "partial"; the rest can be received later.
  4. The PO status becomes "received" and then "closed".

Automatic journal entries

  • Receipt on credit: Dr Inventory (+ input VAT if the clinic is a PKP, a VAT-registered business) · Cr Trade payables – suppliers.
  • Supplier payment: Dr Trade payables – suppliers · Cr Bank (with PPh 23 withholding tax deducted where it applies to services).
  • Return to supplier: the reverse of the receipt.

The item's weighted average cost is updated automatically on every receipt.
