Inventory

Warehouses, batches, expiry, minimum stock, and stock cards

Updated 30 Oct 2026

In this article

Every branch has a default warehouse; the Klinik Pro and Enterprise plans support multiple warehouses. Stock is recorded per batch with an expiry date.

Concepts

Term Meaning
Item Drugs, medical consumables, retail products, reagents; each has a unit of measure, price, and minimum stock
Warehouse Where stock is kept (Main warehouse, Pharmacy, Procedure room)
Batch Batch number + expiry date + quantity + unit cost
Stock card The in/out history per item per warehouse, with the balance after each transaction
Weighted average Inventory value and COGS are calculated from the average cost per warehouse

Minimum stock

Set a minimum stock per item per warehouse. When stock falls below the minimum, Medivana flags it and (on plans that support it) can prepare a draft PO per supplier. The AI Assistant can also suggest "Create a draft PO from minimum stock"; the PO is only created after you confirm.

Expiry

  • Goods receipts must include the batch number and expiry date.
  • Monitor medication that will expire soon (for example in the next 90 days) from the reports or by asking the AI Assistant.
  • Expired medication is destroyed through a destruction/write-off transaction: Dr Inventory losses · Cr Inventory.

Automatic reconciliation

Every day Medivana compares the inventory value in the warehouses with the inventory account balance in the general ledger. Differences are flagged for the accountant to review.
