Subscription billing, renewals, upgrades, and the grace period

Payment

Medivana subscription invoices are paid through the payment gateway: Virtual Account (BRI, BNI, Mandiri, BCA, Permata, BSI), QRIS, or the payment gateway's payment page. Invoices and tax invoices (faktur pajak, where applicable) are available in Settings → Subscription; choose a method and then Pay on an open invoice.

Credit card autopay (optional)

On the Subscription payment card, choose Enable card autopay, then link your card on the payment gateway's payment page (one-time 3DS verification). At the start of every period the invoice amount is charged automatically and the renewal invoice is marked paid.

  • Autopay supports credit cards only. VA and QRIS cannot be charged automatically, so they are still paid per invoice.
  • If a charge fails, the payment gateway retries a few times; once the attempts are used up you receive a reminder and the invoice can still be paid by VA/QRIS before the grace period ends.
  • The autopay amount follows the plan, number of locations, add-ons, and VAT; plan changes are applied from the next period.
  • Stop it at any time with Stop autopay.

Renewal

Subscriptions renew automatically for the same period. Reminders are sent before the due date (for annual plans: 60, 30, and 7 days before).

Upgrades and downgrades

  • An upgrade (plan or add-on) takes effect immediately, with a prorated invoice for the rest of the period.
  • A downgrade takes effect in the next period. Make sure your usage (users, storage) fits the limits of the new plan.

Late payment

  1. After the due date, the account enters a 14-day grace period: all features keep working and a reminder banner is shown.
  2. After the grace period, the account becomes read-only: data can still be viewed and exported, but new transactions (registrations, invoices) cannot be created.
  3. Once the payment is verified, full access returns automatically.

Cancelling your subscription

Export all of your data before the period ends (article Exporting all of your clinic's data). Data retention and deletion after cancellation follow the Terms of Service and the data processing agreement.
