WhatsApp broadcasts with consent (opt-in)

Updated 30 Oct 2026

In this article

Broadcasts are only sent to patients who have given broadcast consent. Appointment reminders and service notifications are not broadcasts and are sent separately.

Steps

  1. CRM → Broadcast (permission "Send WhatsApp broadcasts").
  2. Choose a patient segment. Medivana automatically excludes patients without broadcast consent or who have withdrawn it.
  3. Choose a message template already approved by WhatsApp and fill in the variables.
  4. Check the number of recipients and the estimated WhatsApp quota usage.
  5. Send now or schedule.

Quota

The monthly WhatsApp message quota depends on your plan (Praktik 200, Klinik 1,000, Klinik Pro 3,000, Enterprise 5,000 per branch). Add more with a quota add-on. When the quota runs out, broadcasts are held until the quota is topped up or the month changes.

Content rules

  • Do not promise treatment outcomes or use the Kemenkes (Ministry of Health) or BPJS logos without permission.
  • Include a way to unsubscribe.
  • Do not include patients' personal health data in broadcasts.
Problem Cause What to do
Fewer recipients than the segment Some patients have no consent or an invalid number This is normal; update consent when patients visit
Template rejected WhatsApp policy Adjust the template content
Messages delayed Quota used up or WhatsApp disrupted Check the quota; messages are resent automatically
